Yes, you can automatically record all Microsoft Teams meetings, but the setting is controlled by your organization’s IT admin, not by individual users. If your admin has enabled the policy, you can configure Teams to start recording every meeting you schedule or join, and the recording is saved to OneDrive or SharePoint for later access.
Formula
The calculator estimates how much cloud storage your automatic meeting recordings will consume. It uses the formula:
Storage per day (GB) = (Recording size in MB / 1024) × (Meeting length in minutes / 60)
Where:
- Recording size (MB) – the file size of a one-hour recording, which you can estimate from past recordings.
- Meeting length (min) – the total duration of meetings you record in a day.
- Storage per day (GB) – the amount of cloud storage used per day.
- Storage per month (GB) – assumes 22 working days per month.
Worked Example
Using the default values: a 60-minute meeting produces a 500 MB recording.
- Convert MB to GB: 500 / 1024 = 0.488 GB per hour.
- Multiply by meeting length: 0.488 × (60 / 60) = 0.488 GB per day.
- For a month (22 working days): 0.488 × 22 = 10.74 GB.
So one hour of recording per day uses about 0.49 GB daily and 10.74 GB monthly.
How to Enable Automatic Recording in Teams
Automatic recording is not a built-in user toggle in the standard Teams app. It is controlled by an IT admin through the Teams admin center, using a policy called Auto-recording. If your organization has enabled this policy, you can set it up in your Teams calendar:
- Open Microsoft Teams and go to Calendar.
- Click New meeting or select an existing meeting.
- In the meeting details, look for Recording options.
- Choose Automatically record from the dropdown.
If you don’t see this option, your admin hasn’t enabled the policy. You can ask them to turn on the AllowAutoRecording policy for your user or group.
What Happens When a Meeting Is Recorded Automatically?
When a meeting starts, Teams automatically begins recording after a few seconds. Participants see a notification that the meeting is being recorded. The recording captures audio, video, screen shares, and chat messages (depending on settings). After the meeting ends, the recording is processed and saved to the organizer’s OneDrive (for non-channel meetings) or to the team’s SharePoint site (for channel meetings). The organizer receives an email with a link to the recording.
Common Problems and Limitations
- No auto-record option: The most common issue is that the policy isn’t enabled. Contact your IT admin.
- Storage limits: Recordings count against your OneDrive or SharePoint storage quota. Use the calculator above to estimate usage.
- Meeting types: Automatic recording works for scheduled meetings, but not for channel meetings or meetings that start from a chat unless configured.
- Privacy and consent: Some regions require consent from all participants. Teams shows a notification, but you should inform participants beforehand.
- Processing time: Recordings can take several minutes to process before they appear.
How to Choose the Right Recording Policy
If you are an admin, you can set up automatic recording for specific users or groups. Consider these factors:
- Compliance needs: If your industry requires records of all meetings, automatic recording is helpful.
- Storage costs: Estimate storage usage with the calculator. A typical 1-hour recording is 400–800 MB, depending on video quality and screen sharing.
- User training: Users need to know that recordings are automatically saved and how to access them.
- Hybrid meetings: Recordings include all participants, so ensure remote and in-room audio is captured correctly.
Alternatives to Automatic Recording
If automatic recording isn’t available, you can:
- Start recording manually during a meeting by clicking … (More actions) > Record and transcribe.
- Use the Transcription feature alone, which creates a text transcript without video.
- Set a reminder to start recording at the beginning of each meeting.
- Use a third-party tool (with admin approval) that integrates with Teams.
Frequently Asked Questions
Why don’t I see the automatic recording option in Teams?
This option is only visible if your organization’s admin has enabled the auto-recording policy. By default, it is turned off. Ask your IT department to enable the AllowAutoRecording policy for your account.
Where are Teams recordings saved?
Recordings for standard meetings are saved to the organizer’s OneDrive in a folder named Recordings. For channel meetings, they are saved to the SharePoint site of that channel. You’ll receive a link after processing.
Can I stop an automatic recording during a meeting?
Yes, any participant with presenter permissions can stop the recording by clicking the recording indicator and selecting Stop recording. However, if the policy forces automatic recording, it may restart unless the admin disables it.
Do participants get notified that the meeting is recorded?
Yes, Teams displays a prominent notification at the top of the meeting window and may play an audio announcement. It’s still good practice to verbally inform participants at the start.
How long are Teams recordings kept?
Recordings are kept indefinitely unless your organization sets a retention policy. By default, they remain in OneDrive or SharePoint until someone deletes them. Check your admin’s retention settings.
Does automatic recording work for meetings with external participants?
Yes, but external participants will see the recording notification. They cannot stop the recording unless given presenter rights. Also, your admin may restrict recording for external meetings due to compliance.
